                                                CHAPTER ONE

1.0 INTRODUCTION

DEFINITION

The stores in most organization is an area in which all kinds of materials needed for production, distribution, maintenance, packaging etc are store, received and issued. The store function is therefore basically concerned with holding stocks. However, stores management covers a great deal more than just this aspect and including the following activities. 

a. Holding controlling and issuing stocks

b. Control of all store house, stockyards and outside the storage units.

c. Material handling functions 

d. Quality control activities e.t.c

Types of materials held in the stock: The following is a generalized list of typical items to be found in a medium size production operation.

a. Raw Materials

b. Component Parts 

c. Packaging 

d. Spare Parts

e. Work in Progress 

f. Unfinished Goods 

However, the ranges value and complexity of items hold by any particular stores will depend upon the size and complexity of the operations involved. 

Different types of organization have different types of items in stock. For example, a particular operation will have raw materials, components parts, and work-in-progress and packaging and associated materials. 

A distribution operation will have finished stock, component parts, e.t.c. An engineering and maintenance operation will have spare parts tools, equipment and servicing materials.

Because of this wide variation in the kind of items that can be found in any stores, the storekeeper need to have a wide working knowledge of a great number of materials type and operations. 

Basic functions of stores:-  The modern stores has a wide variety of functions that it has to perform as efficiently as possible; the way which stores management carries out these tasks will be reflected in the overall efficiency of the organization. These functions include the following:-

a. To supply all the material and related services so as to ensure continuation of the operation.

b. To store, control and issue all work-in-progress and completed items.

c. To store control and issue all tools equipment and spare parts needed by the operation of the organization. 

d. To receive store, control and utilize all scrap and excess materials product by organization.

e. To ensure that adequate health and safety precaution are taken in relation to the whole stores operation.

f. To control all training and staff development within the store area. 

Duties and Responsibilities of stores management 

The duties of the stores in the various aspect of its work are discussed below.

(1) Economy:-  One of the basic duties of the store is to ensure that all operations within the store system are performed as efficiently and as economically as possible.

(2) Stock Control:- It is responsibilities of the store management to ensure that the process of stock control is performed within the stores section. 

(3) Store Records:-  It is the responsibility of stores management to ensure that the adequate and up to date stock records are maintained for every item hold in stock, whether in site or in depot or warehouse.

(4) Stock Taking and Checking:-  The store manager is responsible for organization, supervising and collecting all stock check carried out by the organization.

(6)    Receipt of stock: it is the duty of the storekeeper to receive and Handle all the item s delivered to the store, to check the documentation (delivery notes, packaging notes, etc) and to information purchasing stores management of all goods received.

STOCK RECORD SYSTEM 

Definition 

Stock records are formal set of clerical records that contain information about the stock held within the store system. The range of this information will depend upon the system employed and the scope of the operation. However, there are basic function which every stock record system should aim to cover, the fundamental are being data on stock held at any giving time. Stock records have been called the “clerical memory” of the wide range of information held within a good stock record system.

1.1      FUNCTION OF A STOCK RECORD SYSTEM

Stores records have served very important function to perform all of which are designed to provide information on which effective store management and other operational decision can be made 

These functions include the following.

To supply information as to the calculate level of stock for each items held in the store 

To supply information for the verification of physical stock checking via the process of comprise between stocks as calculated by stock records and physical count.

To supply information for the formulation of price list and the efficient carrying out of material costing activities.

To supply information for financial control of the stock by virtue of the process of stock valuation. (balance of stock price per unit)

To supply information for the formulation of production plans and distribution plans, both of.

To supply the clerical information on which the stock, type, shelter life etc

To supply information for the establishment and recording of levels for each item held in stock. These stock levels come under three basic headings.

Minimum stock level

1.2           SCOPE AND LIMITATION OF THE RESEARCH 

In most case the scope and limitation of this research has been under the control and regulation given by organization order to maintained the store of any given procedure assign the rate of items accordance the stage of any given store system

These regulation are assign in respect to inquiries against any other item that should investigate in to required the missing item that are not know how it missing or when it is taken by using and how it been use in way 

The record of item will helped to directed the management of federal medical center about the store when it is and how, and when there is needed some item about the store and maintenance the store. Also the research was limit ate the general hospital jega store that contains the difference item that is managing in store in and out.

1.3              AIM AND OBJECTIVES 

The aims and objective of this research will focus, on the research of the store automation system were by we will assign the system to record the sources of the store record and carryout the record of item, in other to avoided the manual system

The record of the item will be sufficient if there is availability of data that will cover the several sector of the store 

Therefore we will implement the system through the removal of every item which it may be use in other department of the General Hospital Jega and also to know the added item from the store that are use to maintained the store movement



1.4            BACKGROUND OF THE STUDY

1. The general hospital jega was set up in febuary 1973 following of a memorandum of understanding between the people of jega and state government handing over the basic health care centre along Jega to Aliero,Sokoto road for the conversion of as a primary health care which was letter approved as state health care centre in kebbi state.

The general hospital jega was situated along Aliero,Sokoto road and was dedicated to provide secondary health care in medicine surgery, paediatric and gynecology, Ear, Nose, and Throat, Hematology and state health among others.

Other services include ophthalmology and well patient clinic. The hospital has an outlet for maternal and child immunization as well as family planning services.

It also provides a community based preventive maternal mortality programmed through re-orientation of tradition Birth Attendants toward Hospital referral of patients in Kebbi State. This Charter is to enable our users know what services are available in general hospital jega, the quality of services patients are entitled to and the means through which complaints on poor quality services could be remedied.    

2. VISION

To be a Health Care Provider accessible, qualitative and affordable Health Care services to our esteem patients through partnership with patients, the public, staff and other organizations in Kebbi State and environs while making the people health conscious through a wellness awareness campaigns by the year 1973.

3. MISSION 

To provide good Health Care Services to all, irrespective of Creed, Color, affection and all other consideration whilst ensuring professionalism and optimally qualitative services.

1.5 PROBLEMS STATEMENT

The general hospital jega contain difference item of various department due to the combinations of difference item courses loses of item or taken without know how it been used because of using the manual system. I will implement the system in other avoid the missing of any item, so that every item will recorded the Name, Quantity, Amount of supply, Product, etc and when it was taken also will record the name of the person department and amount of the taken also to know the name of the item, this will help the federal medical center management to avoid the missing of the item and also to direct the management of how the item supply was used and also to know the amount   remaining in the store.

2.0    LITERATURE REVIEW 

  Computerized record and search system have been one of the most widely developed management science technologies in the fight against store especially in the developed world. It is suggested that the user interface problem is nearly insurmountable for local store agencies but that effective training might be substituted for inadequate user interface design. Recommendations are provided to address the problems of training. Earlier research into the uses and pay offs of computers in stock agencies suggest that there are real and substantial benefits from use of the system. (Cotton, K. 1978).

The use of record by the stock dates back to the Roman Empire, however, the electronic store records only started gaining widespread use in the late sixties to seventies (Kraemer, 1986) one key characteristics of records in preservation, records may be preserved for long time in many countries there is a change over from paper based records to electronic records. Electronic records are part of the computer based information system and need to be handled automatically following archival requirements to remain truth worthy during preservation (Northrop et al, 1990). 

The International Standard Organization (ISO) defined record as:

“Information created, received and maintained as evidence and information by an organization or person in pursuance of legal obligation or in transaction of business”

Preservation is key characteristics for records, which is followed by their creation purpose to be re-used. The preservation of the record also makes it a vital component in the memory of organizations, individuals and some cases of society (Thomsassen, 2001). 

There are categories from paper-based records to digital or electronic records; henceforth will only electronic records be used. It is natural process, when more and more information and documents are created by usage of computer based information system. Growth of different government solutions has increased the amount of electronic records within public organizations (Statskontore, 2003).

Electronic records must be managed differently in relation to paper based records. Information system managing electronic records must therefore consider archival requirements in order to remain trust worthiness of the electronic records during their preservation specification requirements is comprised in the information development process (Pressman, 2000)

A proactive approach is essential to preserve records. The record has to be prepared and captured for long term preservation at the creation stage; otherwise it will be costly and difficult. There are not only many organizations that have implemented an information system managing trustworthy electronic records following archival requirements. Though there are examples of successful information systems supporting management of electronic records (Chen el al, 2002). 

The electronic stock record system cannot create trustworthy records and is also lacking of critical and necessary record keeping functions. According to Grimson (2001) there are electronic stock record systems that have been less successful in their management of electronic records. Access overtime and preservation are issues, which have been of limited interest when designing electronic item of the store record systems. 

Holgerson (2001) stated that some of the information systems managing records in the store management filter information which negatively influences possibilities to trust and make correct decisions. There are two perspectives of how to manage electronic records, the first perspective is when the record management is embedded in the information system where the record was created or received, and the second is when a separated record management system is used. Independent of what perspective is preferred, there is need to understand the phenomena of records in order to be able to design and develop information systems supporting manage those records, with problems have been identified by many (Meijer, 2001)

Record management is an area of interest not only for people managing records, but also from other adjacent areas as information systems (Cox, 2000).

According to Thomassen (2001) a record has several criteria. Which makes the record unique in relation to other types of information? 


Records support as evidence over actions and transactions. 

Records support accountability which is tightly connected to evidence but are more about which item is accountable over a specific action. 

Records are related to process, that is “information that is generated by and linked to work processes” (Thomassen, 2001). 

Records are going to be preserved, even indefinitely. 

These four characteristics of records make the different from other types of information. In an organization records are part of the organizational management. Cox (2001) stated that the evidential value of a record can only exist if the content, structure and context are preserved. The context is the link between different records that belongs together, and also the process where the record was created.  

There are no differences in expected functions between papers based records and electronics records, but there are differences in structure and form. A paper-based record is a physical entity, often a document (Thomassen, 2001). The electronic record is more of logical entity, where integral parts can be managed at different places within an information system, or even in different information system (Dollar, 1992).

A register plan is made to support the search ability and the organizing of the records by automation have the register plan and also supported the selection process of what a record is. According to Nilson (1983) the majority of the records end up in a category, where the records are described and ordered after its subject or business. 

According to Hartman (1998) qualitative studies has a purpose of understanding the nature of a phenomenon. He also states that qualitative research is about understanding the world where people act, live and work.

The concept of record is the phenomena that will be understood. 

2.1 DEFINITION OF AND SCOPE OF STORES ADMINISTRATION 

STORE: Stores refer to collection of goods and property. They include all movable property purchased, manufactured or otherwise acquired. Stores can be said to be funds (real money) in other forms. 

Stores are a very vital department in any organization, be it industry, commerce servicing or government. All these organizations have causes to acquire stores at varying degrees, description, quality and the different purposes. Although the accountant or auditor is not a store-keeper per say, yet because stores are money, the accountant has a duty, to know and be involved, particularly in the acquisition, administration control and accounting of stores. 

A properly organized and managed store would reduce the rate of pilfering; increase the rate of production of services on the part of the staff. These are achievable through proper management and control of stores. It is absolutely logical, to discern a very strong connection between inefficient store keeper and poor internal control stores. 

2.2 CLASSIFICATION OF STORES 

Stores are generally classified into:

Expendable stores 

Non-expendable stores 

Consumable stores 

A) CONSUMABLE STORES

These are stores which “are dissipated in use and have no residual value.” These are stores, which, once used for the purpose for which they are required, cease to exist a s a store item. For example, a tin of paint, food items, stationery, soap, confectionary etc. Consequently, consumable stores do not require write off or salvage after use or when they become unserviceable before use. 

B) EXPENDABLE STORES 

These are stores of semi-permanent nature such as shovels, machetes, paint-brushes, etc. which are expected of useful economic service beyond the current operating period but no longer than the medium term of two to five years. They are out as a result of constant use and required frequent replacements. When they become unserviceable for the original purpose they still are of some residual value (as scrap). Expendable stores are accounted for at the end of their useful/economic life. 

C) NON-EXPENDABLE STORES 

These are stores of permanent of nature such as furniture, typewriter, motor vehicles, etc. which are expected to give a varying but considerable life and require less frequent replacements. They are accounted for as fixed assets and are normally written off at the end of their useful/economic life explanation and certificate of deterioration through fair use. 

2.3 REASONS FOR ACQUIRING STORES 

It is obvious that primary purpose of stores is to facilitate production operations. This also, indirectly, translates into the enhancement of the efficiency of costs and operations. In addition however, stores when managed properly, directly contribute to significant savings in time and costs. Broadly put, three main reasons account for stores acquisition. These are: Transitional, precautionary and speculative purpose. 

TRANSITIONAL PURPOSE OF STORES:

This relates to the acquisition of stores to the generally obvious reason of furthering day-today activities. The emphasis is on the need to have the items needed ready to further work-in-progress and complete operation.  

PRECAUTIONARY PURPOSE OF STORES:

When stores are required for transitional purpose, they are strictly on the basis of current need. Hence, only the quantities currently required are kept for each production cycle. The applications of this include the assumption that production requirements are stable, demand is fixed stable, that lead time (between ordering and receipt of stores items) are known and stable; and that stores can be acquired in the different specifications (units, quantities, fractions etc) that are currently required. 

SPECULATIVE PURPOSE OF STORES:

Stores serve speculative purpose when they are held in order to take advantages of fluctuations in their production and prices. For instance where there are strong reasons to believe that prices are going to raise, stores that are neither required for transitional nor precautionary purposes might be acquired to take the long run advantage of lower costs. Speculative stores are also held for special activities, which fall within the exclusive direction of management. 

2.4 TYPES OF MATERIALS HELD IN STOCK 

Some of the terms commonly used to describe various kinds of stores are explained below:


RAW MATERIALS:

Basic materials, which undergo changes through manufacturing processes in the course of being incorporated into the finish product, are called raw materials. For example, coal, steel, lead, copper, rubber, cotton, wool, timber, limestone. It should be noted that the finished product of one industry may be raw material of another.

PIECE PARTS:

These are components manufactured from raw materials to make assemblies by the manufacturers of the finished product. 

BOUGHT OUT PARTS

These are finished parts or assemblies purchased from outside suppliers by manufacturer either to be incorporated into his goods or to be re-sold as spares or accessories. For example, in the motor industry most car makers buy such items as bumpers, head lamps, batteries and tyres. 

EQUIPMENT AND SPARES 

This includes machines installations and vehicles as well as their associated spare parts. This type of stock is usually most important in executive industries, agriculture, utility undertakings and the armed services. 

TOOLS:

They may be hand tools like hammers and screwdrivers, tools used on machines, such as dies, drills, former, milling cutters or portable electric, etc. 

GAUGES:

They are devices for measuring the dimensions of shapes of materials or components. There are various kinds, including caliper, plug, screw, gap and form gauges. 

JIGS AND FIXTURES 

These are pieces of equipment especially designed for holding materials or parts while undergoing machining, fitting, assembly or other processes. They are mainly used in manufacturing industries and particularly in mass production factories.




WORK IN PROGRESS

It comprises incomplete items in the course of manufacture e.g. a bracket for holding the chasus of a television set where only the forming and drilling operations have been completed.

                                        






























                               CHAPTER THREE 

SYSTEM ANALYSIS

This chapter is based on the outcome of interviews and research work carryout inside the general hospital jega. Analyze the system and look for possible areas that need to be taken in order to make it more in turn with the computerization objectives, which this project is trying to achieve. This will give clearer features of the situation before and after the benefits of computerization are fully employed. 

3.1 RE-STATEMENT OF THE PROBLEMS 

The problems associated with the system store management as defined are: 

Lack of beat and patrol system 

Lack of proper record 

Lack of condoning and searching known item areas

Lack of monitoring a discrete surveillance on known item

Lack of educating the habitants on how to recognize some item. 

3.2 RE-STATEMENT OF OBJECTIVES 

1. To use computer to overcome, the searching of item and item area.

3. To use computer to improve record keeping of the entire item in the store.

3.6      THE REPORT 

This counts all the input and output that you make during the store automation system it will give you a standard report that you can prosecute to the management. 

The report it contains are:

(1) STOCK LEVEL REPORT 

This contains the different items in the list of item that can be maintained in and out of the stock management. Therefore it contains the donation of item number and number available. 

(2) REQUISITION REPORT 

This contains the different request making in the store, it will allow you to alter the data from and to and view it. It will view the exact reports that make requested the data. 

(3) NEW STOCK REPORT 

This means the new item arrival in the store information, it contains; Enter data, From, To, View. It will exact the specific item that arrival in that present data.   

New output requirement of the output required are the end product of searching of the item which is the reason for having the system and if the output is not analyzed, then there is no essence of the system. 

The output it contains in the information item therefore is:

(a) Item category which means from which categories items are coming from, e.g. 

Cleaning material 

Donation 

Furniture Department  

Office Equipment 

(b) Item name: It depends on which item it will be added in the store. It may be from

This will create the exact item that you added into the store management.




















                               CHAPTER FOUR 

SYSTEM DESIGN

System design can be defined as a procedure involved in using the information collected (during the system Analysis) in order to accomplish the logical desired of the information system. Accurate data entry procedure will be designed so that data going into the information system are correct. Also effect input and output to the form and screen design.  

4.1 RE-STATEMENT OF THE PROBLEM 

The problems associated with the system of store management as defined are:-

4.2 RE-STATEMENT OF THE OBJECTIVES

The inputs required by the system are: 

1. The item data: In this process, records on all items to be received in the store will be collected and captured into the computer. This will be used for reference to the item. The data is captured from the received register, which is taken to the database table. The fields include:

c. From where item come 

4.4 TESTING 

Testing a system often requires as much effort as developing it, but because it is one of the final steps, it is not usually given much planning as the earlier phases. 

The aim of testing is to prove that the developed system addressed the pre-defined business requirement and will operate efficiently and reliably when ran.

System testing should prove that the computer system work as intended and is accepted by all users. It should also show that the computer system would interface correctly with other existing computer system. The running of the system should under the control of operation there are three types of testing, namely:

Unit testing 

System testing 

Volume testing

1. UNIT TESTING 

In unit testing, each module is tested as it is written. This is known as modular programming. Test data, which is an assembled set of data items, is used to try at all of the processing features and controls of the new program. The test data include both valid and invalid data items, where the valid data will represent the outer range of acceptable values that can be processed. 

2. SYSTEM TESTING 

In system testing, the actual operation of the new system testing and user using real life application, data carries it out. It serves to exercise the new system to make sure that the users understand and are satisfied with the results intended to be delivered. 

3. VOLUME TESTING 

This is the third method of testing; it involves testing the developed system with a large or bulky amount of data. 

4.5 IMPLEMENTATION

In this case, the system can convert the operations of store record for the purpose of those activities that can be implemented based on a particular record that replace an existing activities that can be easily convert the new and the old system design constraints. Therefore the implementation has a procedure that will convert all the necessary documentations of all the possible operation been conducted by a personal record or item record in dealing with the design constraints. 

However, every system has a method of conversion that the entire entire program has an alternative for the old and new system either smaller simple system. Although there is a parallel method in ensuring job is completed based on the expensive requirements by the people and the time involved in it. 

Implementing the system will promote a developed planning that will intend to be accepted by the users and the existing system, where every system is assigned to operation how a store record is obtained and the control of every type of store by any database file in the system, the aim of implementation is to provide the system to recall a particular item and record that will read all the possible data in the store to ensure the control of item in any place in the management. 

























CHAPTER FIVE 

  SUMMARY

In this research we will discuss how the entirely project is been conducted and see how each and every chapter deals with the computerization of store item record based on their functions, problems, aims and objectives as well as other sources of items and other related element and file maintenance program testing. 

Therefore, this research has undergone different items record of stock from various stock managers as a result of studying the stock records, and also it suggests that the user-interface has a real substantial benefit from the use of the system to search for item in every store. 

However, there is a case used by the store record in order to conduct a group of item involved in store activities. In most cases, we summarized how the system analysis is based on the outcome of store that will lead to the statement of a particular item and other search for item for every item record, there must be types of item being to retrieve a particular item from one to another. Therefore there must be a maintenance strategy as well as human elements in every transaction done in the store.   

5.1 CONCLUSION 

This is a part that will lead us to the guidance and the principle of operation being use by the research work. It is clearly observed that the computerization of store record can be suggested to search for less effectiveness and less privileges of any maintenance in accordance to the control strategy in the system. 

The important aspect of growth and capacity needed will conduct a conclusion on how this research work is being conducted, so as to enable us to bear the necessary manner and relevant time, which is applicable to the computerization of the records. Being used as a control system in conducting a research on this topic where the principal approach is made for the optimization of the maintenance as well as the preparation for final suggestions.

However, there is whether the system will control the structure and principle operation for the research work so as to use most of the systems to recall all the necessary case being conducted and the approach being made. Therefore, there must be a conclusion on how store acts should posses and control system will be maintenance as well as the process of being made as entitlements for the research work. 

5.2 RECOMMENDATION

In this case, there must be a formation of skills and acquisition that will be emphasized on the principle of guidance and cost effectiveness of the research work, so as to commence the need for the performance of necessary role in the system. 

However, there is an important performance consideration, which will lead us to the necessary aspect of this research work. It is also recommended that for every field of professions there must be recommendation, in the case it will be recommended that every item must be controlled in such a way that the important of computerization of store automation record across every store there must be a system that will recall all the search for item work done and determines the possible action taken by the required program and obtained a necessary manpower training i.e in the field of computer science.  

Therefore, I recommend that the store automation system will need to establish a role that will maintain and control item cases and other relevant acts upon store record in general. And I recommend that the department should receive most of our research work and guide student on how to carry out the necessary skills of every research work where by there is need for the system to search and control different forms of item work done. 

The necessary need for this research and promote prevention and control system across the research work. 

Therefore this led us to the entitlement specification and maintenance that delivered cost effectiveness.
